​Monday at Nine are excited to be partnering with an International Law firm in the search for a Resourcing Assistant.

Working alongside the wider HR team, the Resourcing team are responsible for managing recruitment for the firm. You can expect to work cohesively with the wider HR Team, key stakeholders and partners within the business. Due to continuous growth, they are now looking to recruit an additional assistant to join the team.

This is a full-time role that can be a hybrid of working from their Leeds office and working from home. You can expect a varied and fast paced role within a collegiate, dynamic and friendly team.

As the Resourcing Assistant you will support the wider Resourcing Team throughout the recruitment life cycle. The role is extremely varied and encompasses a wide range of administrative tasks and the ability to work with Advisors on some of our vacancies. You will be involved in the recruitment across all UK and international offices encompassing the roles of qualified lawyers, business services staff and paralegals.

  • Responsible for updating our recruitment system, external job boards and databases with vacancy information

  • Assisting advisors with the shortlisting of candidates and telephone screening where required

  • Scheduling interviews, recruitment events and assessment centres

  • Generation of recruitment correspondence including offer letters and contracts of employment

  • Being a point of contact for prospective candidates and new joiners relating to questions about the recruitment process or onboarding process

  • Supporting the team with direct sourcing including producing market maps and research documents

  • Ownership and production of regular reports, using the recruitment system, so the team can monitor recruitment activity, success rates, agency performance and the diversity of our candidate pipeline

  • Ownership and maintenance of recruitment spreadsheets, templates and key recruitment documents

  • Producing the first draft of a supplier newsletter (platform training to be provided)

  • Support with the management of our agency relationships including issuing recruitment terms and subsequent renewals, arranging agency briefings and organising payment of agency invoices

  • Manage recruitment invoicing

  • Manage the Recruitment inbox in a timely and professional manner

  • Become a super user for our recruitment system and ensure applications are processed through the system to ensure accuracy in reporting

Knowledge, skills and experience required 

  • Experience of working in a fast paced administrative role, ideally with some exposure to recruitment processes

  • Good attention to detail and a proven track record of consistently high accuracy levels and overall high standards of work

  • An ability to manage conflicting requests or concurrent multiple projects, including rearranging interviews and co-ordinating fast paced schedules

  • The ability to interact professionally and credibly with candidates, internal and external clients and suppliers

  • Highly computer literate with Microsoft Office skills, ideally including experience of using an Applicant Tracking System

  • An ability to problem solve, willingness to get involved and show initiative
